This policy explains what personal data Kayo International collects, why we collect it, who we share it with, how long we keep it, and the rights you have over it. It applies to this website, to our franchise enquiry forms, and to the admission and day-to-day operation of our preschools.
We are a Data Fiduciary under India's Digital Personal Data Protection Act, 2023 (“DPDP Act”). That means we decide why and how your personal data is processed, and we are accountable for it.

2. What we collect
We collect only what we need for the purpose you came to us for. We do not buy personal data from third parties.
If you enquire about a franchise
Through the form on our franchise page: your name, mobile number, city and state, and, at the second step, the investment range you are considering, your timeline, your premises status and your intended level of involvement. We also record the consent you gave, the exact wording shown to you, and the date and time you gave it.
Alongside that, our website records the page you submitted from, the website that referred you, and any campaign parameters in the link you arrived on (utm_source, utm_medium, utm_campaign, utm_term, utm_content, and the Google and Meta click identifiers gclid and fbclid). We use these to understand which marketing brought your enquiry.
If you enquire about admissions or contact us
Through our contact and visit-booking forms: your name, email address, phone number, city and anything you choose to write in the message field.
If your child attends a Kayo centre
To admit and care for a child we collect the child's name, date of birth, gender, photograph, address, medical and allergy information, emergency contacts, authorised pick-up persons, attendance records and learning progress, together with the parents' or guardians' names, contact details and identity or address proof where required for admission or by regulation.
Automatically, when you visit this website
Standard technical data: IP address, device and browser type, pages viewed, time on page, and how you reached us. See Cookies and tracking.
3. Why we use it
| Purpose | Data used | Basis |
|---|---|---|
| Responding to a franchise enquiry, checking city availability, and discussing terms | Franchise enquiry data | Your consent |
| Responding to an admission or general enquiry | Contact form data | Your consent |
| Admitting a child and running the preschool day to day | Child and parent data | Verifiable parental consent; performance of our contract with you |
| Child safety, emergency care and authorised pick-up | Medical, emergency contact and pick-up data | Parental consent; legitimate use for safety |
| Understanding which marketing brings enquiries, and improving this website | Website and campaign data | Your consent to analytics cookies |
| Meeting legal, regulatory, tax and statutory obligations | As required by the relevant law | Legal obligation |
We do not sell your personal data, and we do not share it with third parties for their own marketing.
4. Consent and withdrawal
Where we rely on consent, we ask for it clearly and separately, by an action you have to take yourself — a tick box you must select, never one that is pre-selected. We record what you agreed to and when.
You can withdraw consent at any time by emailing franchise@kayointernational.in or writing to either centre address above. Withdrawing is as easy as giving consent was. When you withdraw, we stop the processing that relied on it and erase the data unless a law requires us to keep it. Withdrawal does not undo processing that already, lawfully, took place.
5. Children's data
We are a preschool, so we process the personal data of children under 18 — almost all of them under 6. The DPDP Act sets stricter rules for children's data, and we follow them.
- We process a child's personal data only with the verifiable consent of a parent or lawful guardian, obtained at admission and recorded.
- We do not undertake tracking or behavioural monitoring of children.
- We do not serve targeted advertising directed at children, and we do not use children's data to build advertising audiences.
- We do not process a child's data in any way likely to cause a detrimental effect on their wellbeing.
- We publish a child's photograph or work — on our website, social media or marketing material — only with separate, specific written parental consent, which you may withdraw at any time.
- Access to children's records is limited to the staff at that centre who need it, and to our administrators.
The analytics and advertising tools described below run on our public marketing website. They are not deployed in any parent portal or on any page used to manage a child's record.
6. Who we share it with
We share personal data only with service providers who process it on our instructions, under contract, and only for the purposes above. The main ones are:
| Who | What for | Where |
|---|---|---|
| Zoho CRM | Storing and managing franchise enquiries | India data centre |
| n8n (workflow automation) | Routing a submitted enquiry to our CRM, records and notification inbox | Our own instance |
| Google (Analytics, Ads, Tag Manager) | Website analytics and advertising measurement | Global |
| Meta (Facebook, Instagram, WhatsApp) | Advertising measurement, and replying to you on WhatsApp if you contact us there | Global |
| Our website host and email provider | Running this website and our email | India |
| Kayo franchise partners | If you enquire about admission to a franchised centre, we pass your enquiry to that centre so they can respond | India |
We may also disclose personal data where we are required to by law, court order or a lawful request from a public authority, or to protect the safety of a child, our staff or the public.
Some of these providers process data outside India. Where that happens we rely on their contractual data-protection commitments, and we transfer only to countries not restricted by the Central Government under the DPDP Act.
7. Cookies and tracking
This website uses cookies and similar technologies:
- Necessary — needed for the site to work: page delivery, form security, and remembering that you have already submitted an enquiry so we do not ask twice. These cannot be switched off.
- Analytics — Google Analytics, to understand which pages are read and where visitors come from.
- Advertising — Google Ads and the Meta Pixel, to measure which campaigns produce enquiries and to show our ads to people who have visited us.
Analytics and advertising cookies are set only where you have consented. You can change your choice at any time through the cookie settings on this site, and you can clear or block cookies in your browser — the site will still work, though some parts may be less convenient.
Our franchise page also stores a small amount of information in your own browser so that the break-even calculator and the franchisor scorecard stay unlocked on your next visit. Any figures you type into the calculator stay in your browser and are never sent to us.
8. How long we keep it
- Franchise enquiries that do not proceed: up to 3 years from your last contact with us, then erased.
- Franchise partners: for the term of the agreement and 8 years after it ends, to meet contractual, tax and statutory requirements.
- Admission enquiries that do not result in enrolment: up to 2 years from your last contact.
- Enrolled children's records: for the period the child attends and 7 years afterwards, or longer where a law or a regulator requires it.
- Website analytics: up to 14 months.
When a retention period ends, or when you withdraw consent and no law requires us to keep the data, we erase it or irreversibly anonymise it.
9. Your rights
Under the DPDP Act you have the right to:
- Access a summary of the personal data we hold about you and how we process it.
- Correct, complete or update data that is inaccurate or incomplete.
- Erase your personal data where it is no longer needed for the purpose you gave it for.
- Withdraw consent at any time, as described above.
- Nominate another person to exercise these rights on your behalf if you die or become incapacitated.
- Complain to us, and then to the Data Protection Board of India if we do not resolve it.
To exercise any of these, write to our Grievance Officer below. We will verify who you are before we act, and we will respond within 30 days. There is no charge.
Parents and lawful guardians exercise these rights on behalf of their child.
10. How we protect it
We use reasonable security safeguards appropriate to the data we hold: access limited to staff who need it, encrypted transmission of data submitted through this website, access controls and passwords on our systems, contracts with the providers who process data for us, and staff guidance on handling children's information.
No system is perfectly secure. If a personal data breach occurs, we will notify the Data Protection Board of India and every affected person, as the DPDP Act requires.
